Congratulations on being selected to present a poster at CampusEnergy2026!

This Poster Presenter Resource Page is your one-stop guide for everything you need to know as you prepare to set up, present, and engage with attendees about your poster on site at the conference.

Please bookmark this page, as any important updates will be posted here. IDEA staff will also send brief email notices if there are major changes or additions to these guidelines.

What Makes Presenting a Poster Unique?
A poster presentation allows you to showcase your full content on a poster board while engaging in more informal, one-on-one conversations with attendees during designated viewing times. It’s a great way to dive deeper into your work, answer questions, and build connections.

Like a podium presentation, your poster should clearly outline the challenge or problem, describe your solution (often through a case study or similar examples), and highlight key lessons learned and takeaways.

Poster Display - through the years, IDEA has given poster presenters the opportunity to decide how they would like to display their poster presentation. Many create a slide deck, print out the slides and pin them to the posterboard. Others create a large, professionally designed poster with your content, or for many, a mix of both. As posters are up for the entire program and are more of a one-to-one discussion with attendees, whatever you think will make your content stand out is fine, as long as you can pin it to the posterboard. 

Printing - Please note that you are responsible for printing and transporting your poster materials to the event. IDEA will provide the poster boards and pushpins needed to mount your poster.

Onsite: Poster Set-Up and Logistics

All posters will be displayed in the exhibit hall area. A poster board will be provided for you onsite, corresponding the poster number assigned to you and listed in the conference program.

Poster board dimensions are 48” (h) x 94” (w). They are two-sided boards, one side of the board is used for your presentation, the other side will be used for another poster presenter.

IDEA will number the poster boards as they are listed in the app or Interactive ProgramIDEA Educational Program. Please choose the poster board that corresponds to the number given to your poster.

Mount your display on the display board surface as you see fit. The photo below is an example of the poster board area and a poster board. You can design your poster board as you like as long as it stays within the provided dimensions. IDEA will provide as many push-pins as you require.

Submitting Materials via Conference Harvester

IDEA uses Conference Harvester to gather all pertinent speaker information, including your contact information (name, job title, company, email, bio, headshot) and speaker deliverables (registration status, PPT slides and prerecorded video).

All speakers should have received an email with a personalized login to update your profile and upload deadline-specific deliverables on your own. If you haven't received your email (or misplaced it), please reach out to speakers.idea@districtenergy.org so we can resend it. 

If you have major changes to your session (adding/deleting a presenter or change to your session title), please email speakers.idea@districtenergy.org. Otherwise, you can make all other edits on your own.

Poster Session Hours

This year's poster presentations will be held in the rear of the IDEA Exhibit Hall, located in Prince George's Exhibit Hall B. Posters will be near prime real estate (food & beverage) and will be promoted often during the conference in the app.

Your poster will be up the entire conference, but there are dedicated times, listed below (during exclusive exhibit hall hours) where we ask you to be near your poster to discuss your topic with interested parties. We do ask that you place a business card on your poster in case someone wants to reach out (though they can also reach out to you using the app).

Poster Presentations during Opening Reception in the Exhibit Hall
5:00-6:30pm

Wednesday, February 18

10:00-10:40am (during refreshment break)

1:45-2:25pm (during dessert and coffee break in exhibit hall)

3:30-3:55pm (during afternoon refreshment break in exhibit hall)

5:30-6:45pm (during cocktail reception in exhibit hall)

Thursday, February 19

7:00-7:50am (during breakfast in the exhibit hall)

10:00-10:40am (refreshment break in exhibit hall)

1:45-2:25pm (dessert and coffee and raffle drawing in the hall)

Tear down of poster is 2:25-6:00pm. Posters not taken down will be discarded.

Recording Your Presentation

Additionally, you are required to submit a recording of your presentation with slide sharing by Friday, January 30. This is not a Spielberg production - you can simply record your video with Zoom, Teams, or directly in the PowerPoint app. If you have multiple presenters, we recommend scheduling a Zoom or Teams call with the group and record it - it's that simple! As long as you're on screen with your slides with audio, you're good! If you have questions on how to record, please contact us at speakers.idea@districtenergy,org.

WHY A RECORDING?  You might be asking why you need to record your presentation early if you're going to be there in person.

Recording a video significantly increases your visibility with attendees. If someone didn't get a chance to meet you in person at the conference, watching a video of you making a presentation of your content can help get them up to speed.  By recording, you ensure they can still watch your presentation after the conference and benefit from your expertise.

Additionally, IDEA provides attendees with access to videos post-conference to enhance their learning experience. If you cannot commit to providing a video, please contact us immediately so we can replace your session with one of the many on the waitlist.
