Cancellation Policy

In-person Conference Registration

Cancellations received by Thursday, July 15 can choose from three options:
  • Convert to virtual conference with a $400 credit to be used towards an IDEA event within one year.
  • Receive full credit to use towards an IDEA event within one year.
  • Refunded in full, less a $200 cancellation fee.

After July 15, fees must be transferred to virtual event, with no additional credits or refunds. 

Virtual Conference Registration
Virtual Conference Registrations cannot be cancelled and no refunds/credits will be issued.

Cancellation requests must be submitted to  IDEA staff will connect with you upon receipt to verify the options available to you. If you do not hear back from us within 2 business days of sending your cancellation request, please contact Cheryl Jacques at or +1-508-366-9339. 

IDEA is not responsible for travel related delays or cancellations due to weather.


Attendees can earn up to 3.4 CEUs (Continuing Education Units) based on your registration items. IDEA has waived the fee for your CEUs. Simply select the CEU option on the registration form and IDEA will submit for the CEU certificates on your behalf.

Government/Military Registration

To qualify for the government/military rate you must be active duty military personnel, an elected official, or employee of a federal, state or municipal agency or government body in a regulatory or policy for oversight role. If your organization is a "Government Agency" IDEA member, all registrants from your organization are eligible for this rate.

Operations staff or third party personnel that operate a district energy system at a public university, military base or municipality are not eligible for this rate. Please note that government registrations are ineligible for the volume discount. 

Exhibitor Registration

In-Person Exhibitors:

Each in-person exhibiting company receives one complimentary full conference registration and two complimentary Additional Exhibit Booth Personnel registrations.

Additional exhibit booth personnel registration is designated for in-person exhibiting companies to add additional personnel to work the trade show booth at the event. This option is strictly limited to exhibiting company staff in the trade show exhibit hall and is not intended for non-exhibiting company attendees to pay to visit exhibitor booths.

Additional exhibitor registration includes all functions in the exhibit hall (receptions, breakfast, breaks, desserts). Registration does not include workshops, conference sessions, luncheons or dinners. Workshops, and Technical Tours are available for additional fees. All prices are USD.

Virtual Exhibitors:

If a Virtual Exhibitor would like to attend the Virtual Conference as an attendee (access to virtual sessions both live  and recorded), IDEA offers a discounted registration fee of $500 member/$800 non-member.

Spouse/Guest/Child Registration

Spouse/Guest registration includes: conference receptions; continental breakfasts; Welcome Dinner/Chair's Banquet; two tours of Austin (details TBD). Registration does not include luncheons or conference technical content. All prices are USD.

Student Registration

Full time students, not working in the district energy industry are invited to attend IDEA2021. To qualify for the student rate you must be a full time student at a college, university, or training school, not currently working in the District Energy industry. You must register with a .edu address and provide a copy of your student ID. Please bring your student ID with you to the conference as IDs will be verified upon check in.

COVID-19 Health and Safety Guidelines

IDEA will be following all local, state and federal health and safety guidelines and strictly adhere to CDC guidance regarding COVID-19 protocols at the time of the event.

IDEA will communicate with attendees what protocols or safety guidelines will need to be followed onsite at the Austin Convention Center and host hotels- if any - as we get closer to the event.

Includes all in-person conference sessions, meals, networking events, exhibit hall (in-person and virtual) and access to virtual conference session recordings and handouts for 90 days after the conference concludes. All prices are USD.

NEW! CHP /District Energy Master Class

IDEA will offer a CHP/District Energy Masterclass to follow the conference on Thursday Sept 30, 

The CHP/Master Class will be a “deeper dive” into strategies, technologies and best practices involved in the operation and optimization of campus-scale thermal energy and electricity production.  The session will be led by Juan Ontiveros, Associate Vice President of Utilities and Energy Management at UT Austin and former Board Chair of IDEA and will involve a range of resources and technology providers with direct experience at the award-winning UT Austin district energy/CHP system. 

The curriculum will be fast-paced and is intended for energy professionals with a solid working knowledge of power, steam and chilled water production, distribution and management.  Topics will include utility planning, system modeling, controls and optimization, integration of thermal storage, and resilience strategies for mission-critical customers, citing real-world case examples and enabling interactive dialogue, discussion and problem-solving. 

Professional development continuing education units will be available for registrants upon completion.  The Master Class follows the IDEA 2021 Annual Conference and involves a separate registration fee of $700.

Volume Discount

IDEA Member Organizations registering 5 or more attendees at the same time are eligible for a group volume discount of 10%. Please contact Cheryl Jacques or call +1.508.366.9339 to process a volume discount. Volume discounts are not available for exhibitor, additional exhibitor, or non-member registrations. A volume discount is available only for members of IDEA completing full conference registration and must be processed as one transaction (group registration). Once submitted, individual registrations are not eligible for a volume discount due to credit card processing and transaction fees.
