IDEA COVID-19 Health & Safety Precautions

CampusEnergy2022 will be the first in-person Campus Energy event since February 2020 in Denver. The health and safety of our attendees, members and staff has always been a top priority for IDEA at our events, now more than ever.

IDEA is closely monitoring guidance from the Center for Disease Control & Prevention for both fully vaccinated and unvaccinated individuals, the World Health Organization and local health agencies regarding travel and events.  

Latest Update

As per the latest City of Boston policy regarding COVID-19, as of Feb. 15, businesses will require that individuals show proof of full vaccination (two doses of vaccine) for most indoor activities.

On Wednesday, January 5, IDEA was informed that the host hotel, The Westin Boston Seaport District Hotel will adhere to City COVID policy. As a result, IDEA will be requiring proof of vaccination for in-person attendance at CampusEnergy2022. You must show proof of vaccination at the IDEA Registration Desk prior to picking up your conference badge.  Thereafter, the conference badge will enable access to IDEA meeting rooms, luncheons and exhibit hall for the remainder of the conference.

Please be advised you may still be required to show proof of vaccination to hotel staff for access to other public spaces in the hotel such as restaurants, bars and gym facilities.  The City and hotel will require that masks are worn in all public spaces for public safety.

In Advance of the Conference

  • When registering online for the conference, attendees are required to “accept” IDEA's terms & conditions. A copy can be found here.
  • Everyone attending the conference and workshops is required to register for the conference for safety purposes.
  • Proof of vaccination will be required to attend the conference in-person, as noted above.
  • Continue to check districtenergy.org/campusenergy2022 for updates, and here in the “Health and Safety” section.

At the Conference

  • Per the City of Boston policy , attendees will be required to show proof of vaccination to check in and attend the conference.
  • Per the City of Boston policyface masks are required in all indoor public settings.
  • IDEA will provide disposable masks onsite, though we encourage you to bring your own as well.
  • Contact-less on-site registration process are available for obtaining your conference badge.
  • A color-coded system (i.e. stickers, ribbons, etc.) will be available for attendees to add to their name badge to communicate their level of comfort regarding physical distance preferences.
  • Meeting rooms and seating will be set to allow some physical distancing for those who choose it.
  • Appropriate signage and/or floor decals to reinforce safety reminders.
  • Hand sanitizer stations will be positioned throughout the meeting space.
  • If at any time you experience fever, cold or flu symptoms, tiredness, achiness or other flu/cold symptoms, we ask that you refrain from attending sessions and notify IDEA staff at idea@districtenergy.org.
  • IDEA will have a limited supply of rapid COVID-19 tests available for those who are feeling ill.

After the Conference

  • If an attendee tests positive for COVID-19 within 14 days of leaving the conference, the attendee is required to notify IDEA staff immediately at idea@districtenergy.org
  • IDEA will communicate to attendees, if needed, up until 14 days after the last day of the conference.
